Exhibitor Information

The following information outlines general participation requirements and event guidelines for exhibitors at The Drink Show – NSW Edition.

Full operational details will be provided to confirmed exhibitors prior to the event.

Booth Allocation

Booth allocation must be confirmed in writing.

Final stand placement is determined by the Organiser to maintain category balance, floorplan flow and overall event presentation.

Requests for specific locations will be considered where possible but cannot be guaranteed.

Payment Schedule

Deposits and balance payments must be received by the stated due dates.

All payments are non-refundable in accordance with the Exhibitor Terms & Conditions.

Failure to meet payment deadlines may result in cancellation and reallocation of booth space at the Organiser’s discretion.

Tasting Guidelines

The Drink Show operates under a controlled tasting format.

• Small tasting samples only
• Full-serve alcohol is not permitted
• Voucher use is optional and subject to organiser approval
• All service must comply with RSA requirements, licence conditions and event guidelines

Tastings are provided at the exhibitor’s discretion within the approved event format.

Stand Space & Equipment

Exhibitor bookings provide allocated floor space only unless otherwise confirmed in writing.

Exhibitors are responsible for supplying and managing their own:

• Tables, shelving and display equipment
• Table linen and stand presentation
• POS systems
• Tasting cups / sample vessels
• Ice buckets, tongs and utensils
• Garnishes, mixers or ingredients (if required)
• Spittoons (recommended for wine exhibitors)
• Refrigeration or specialised equipment (if required)

All electrical equipment must comply with Australian safety standards and hold current Test & Tag certification if connected to venue power outlets.

Extension leads and power boards must be commercial grade and suitable for event use.

All cables must be secured to the floor using suitable tape to prevent trip hazards. Exhibitors should bring their own masking or gaffer tape for this purpose.

All equipment and setup must comply with venue safety requirements and applicable workplace health and safety (WHS/OH&S) regulations.

The Organiser and Venue reserve the right to refuse unsafe or non-compliant equipment.

Trade Preview Participation

Exhibitors should be prepared to engage with trade visitors during the Trade Preview period.

This may include:

• Wholesale pricing information
• Order forms or trade contact details
• Distributor information
• Product lists or catalogues

Trade attendance may include venue operators, buyers, distributors and industry guests.

Promotional Contribution

Each exhibitor is requested to provide one (1) bottle or packaged product for use in door prizes, promotions or event giveaways unless otherwise agreed.

Product should be consistent with the event format.

Exhibitor Presentation

The Drink Show is positioned as a premium tasting event.

Exhibitors are expected to:

• Engage professionally with guests and trade attendees
• Present their stand in a clean and organised manner
• Serve responsibly and in accordance with event guidelines
• Participate for the full session unless approved otherwise

The format is designed to encourage conversation, product education and responsible tasting.

Services Provided by the Organiser

The Organiser will provide general event infrastructure including:

• Venue hire and event management
• Event security personnel
• Venue supervisor / event control staff
• Ice supply for tasting use (reasonable quantities)
• General waste removal and cleaning
• Public liability insurance for the event (organiser only)
• Marketing and event promotion
• Trade invitation distribution
• Floorplan management and exhibitor coordination
• Controlled entry and attendance monitoring

Exhibitors remain responsible for their own stand setup, staff, stock, equipment and POS systems unless otherwise agreed in writing.

Final Details

Confirmed exhibitors will receive additional event information approximately four weeks before the event, including:

• Bump-in / bump-out schedule
• Event day timetable
• Access instructions
• Venue guidelines
• Licence conditions
• Contact details for event staff
